- "LABELER" Manual

- Welcome to "LABELER", the fully integrated LABELER system. Please
- do not let this document lead you to believe that "LABELER" is com-
- plicated to run. We just have to explain everything possible, in
- as much detail as possible. When you run "LABELER" you will find
- that all areas are easy to get to through the menus and all entries
- are clearly and plainly marked to insure that you will have little
- problem using "LABELER" to it's fullest advantage.

- REGISTRATION & BENEFITS

- User's of the SHAREWARE version of LABELER may obtain technical
- support by writing to Infinity Data Products, P.O. Box 533, Jackson,
- MO, 63755, or by sending a FAX to 314-243-6083. Registered users
- will be granted Unlimited Support via our toll-free "800" number for
- a period of 1 year (LABELER is very user friendly and our experience
- has been that most user's require little or no support). Registered
- user will receive:

- 1. A bound and fully illustrated "User's Manual".
- 2. An opportunity to have LABELER "customized" to meet the
- needs of your particular organization. (Costs are based
- on the degree of change necessary and whether the organ-
- ization is national in scope - which allows us to amortize
- the cost over many potential sales - or is it one club with
- no other affiliations - which means the full cost must be
- borne by that club.) We presently have custom versions of
- LABELER (strictly commercial versions and not shareware) for
- Knights of Columbus and Arts Councils. There is also a
- commercial version aimed solely at organizations that do
- Fund Raising (such as hospitals, schools, and charitable
- organizations). This version tracks donations, pledges
- (it schedules and tracks pledge payments), volunteer's and
- prospects (and which prospect has been assigned to which
- volunteer).
- 3. The latest Registered User's version of LABELER.
- 4. One free additional up-date will be provided to each
- registered user as up-dates are released.

- HISTORY
-
- LABELER was orginally developed for use by local printing shops
- that managed mailing lists for corporate clients, then a massive
- rewrite was undertaken to create the shareware version with on-
- line Help, View/Print of Manual, and Key Word Search. LABELER has
- been in use now for close to two years and the program is very
- stable (no known bugs).

- INSTALLATION
-
- To install LABELER, simply place the master floppy disk in either
- floppy drive A: or B:, type in A: or B: as appropriate, and press
- the Enter (or Return) key. When the DOS prompt indicates you are
- in A: or B:, type in INSTALL. The installation program will ask
- you to enter the hard drive that you want LABELER to be installed
- to. The choices are C thru F (you do not have to enter the colon
- ':'). LABELER and it's associated files have been compressed
- into one 'self-extracting .EXE file so that they will fit on one
- floppy disk. INSTALL will un-compress the files and copy them to
- the appropriate hard drive. The LABELER files will be in a
- directory called IDPLBL, so if you are using a menu system, IDPLBL
- is your path and LABELER is what you enter to start the program. If
- you are not using a menu system, we have place a batch file in
- the root directory of the hard drive partition, so you do not
- have to change to the IDPLBL sub-directory, just enter LABELER at
- the DOS prompt.

- GLOSSARY OF TERMS
-
- For those of you who are un-familiar with all the special terms,
- or "computereze", of working a computer - we offer the following:
-
- BACK UP: "Backing Up" means having your computer copy your data
- from your hard disk to floppy diskettes. Doing regular Back Ups
- helps insure that your data is safe in the event of a catastrophic
- failure of your hard drive. If your hard drive, or computer, should
- go bad, all you would have to do to is re-install "LABELER" on the
- new hard drive and then restore your data files from your Back Up
- diskettes to the hard drive. We consider "Back Ups" to be so
- important that we have had "LABELER" warn you anytime that more than
- 7 days has passed since you last did one. If your computer has enough
- available memory (which it should because we have coded a special
- "shell" that uses only 20K of memory to hold "LABELER" while the DOS
- Backup command is being executed), you can do your backups from
- within "LABELER".

- DISK DRIVES: A disk drive can be a "Floppy Drive", using 5 1/4"
- or 3 1/2" removable diskettes, or a "Hard Drive" containing non-
- removable disks. The purpose of these drives is for data
- storage only. "LABELER" was "stored" on a floppy disk until the
- Install program copied it to the hard disk, where it is also
- stored until needed. Floppy Drives are referred to a Drive A:
- and Drive B: if you have two floppy drives. If you just have
- one, it will be Drive A:. A 5 1/4" floppy disk may have 360K of
- storage capacity (DSDD), or 1.2Mb (DSHD). In general, you can
- tell the difference by looking at the hole in the center of the
- diskette. If it has a reinforcing ring around it, it most likely
- is a 360K diskette. If it doesn't, it is probably a 1.2Mb
- diskette. A 3 1/2" floppy diskette may have 720K of storage
- capacity (DSDD), or 1.44Mb (DSHD). A 720K diskette will have a
- square hole, with a sliding "write protect" tab, in just one
- corner of the casing. A 1.44Mb diskette will also have a second
- square hole in another corner.

- Hard Drives are referred to as Drive C:, D:, E:,etc.. Even
- though your computer may only have one "physical" drive, it may
- be partitioned into two or more "logical" drives, which would be
- the D:, E:, etc. "LABELER" can only be installed onto partitions
- C: thru F:.
-
- DOS: Disk Operating System. DOS is the software that
- interprets the commands given by your program into commands that
- can be understood by your computer.
-
- DOS PROMPT: The DOS "Prompt" is a character (A, B, C, D, etc.)
- that is displayed on your monitor when you are not running a
- program. This character indicates which disk drive DOS is
- presently looking at. An A or B indicates that your computer
- will go to your floppy drives to execute any command given to it.
- A "C", or higher, indicates that a hard drive will be accessed.
-
- F1,F2,F3, ETC.: F1 through F10 indicate the "Function" keys that
- are either across the top of your keyboard, or in two rows at the
- left side. If a program indicates that "F2" is used to perform
- some function, simply press the F2 key.
-
- FIELDS: Areas on an input screen which contain names, addresses,
- phone numbers, etc.
-
- FILE: A collection of information stored on a disk, containing
- either data or a program, and having it's own distinct name. A
- file might be likened to a file folder in a desk. File folders
- might contain business letters, sales information, or names and
- addresses for example. Files on your disks could also contain
- the same information.
-
- FILE NAME: A name of up to eight characters that the computer
- uses to find a file on a disk. The file name can be followed by
- a period and up to three additional characters called the File
-

- Name "Extension". The file "Name" distinguishes one file from
- another. The file "Extension" designates the "type" of file it
- is. COM and EXE extensions indicate actual programs. DBF means
- it is a database containing your data. NTX indicates an "Index"
- file that allows "LABELER" to quickly find a particular record.
- When you create a new Label or Event database from within
- "LABELER", you will give the database the eight digit "File Name",
- and "LABELER" will add the appropriate "Extensions" and create the
- Indexes.

- FORMATTING: When you "Format" a diskette, you are preparing it so
- that data can be stored on it in an orderly and precise manner.
- Formatting defines what the capacity of the disk is and exactly
- how and where data can be stored on it (sort of like a road map
- with addresses). Your house may be at 415 Elm Street, but your
- data may be a Cylinder 30, Sector 4, Head 1.

- M, MB, K, KB: M stands for 1,000,000, so a 40Mb hard disk would
- mean it's storage capacity is 40,000,000 bytes. K stands for
- 1,000, so a 360K floppy disk would hold 360,000 bytes. The "b" in
- Mb or Kb stands for "Bytes". A Byte is 8 "bits" (or digits)
- that represents a character, number, etc., therefore, 40Mb equals
- 40,000,000 characters and 360Kb stands for 360,000 characters.

- RAM: Random Access Memory, is the memory in your computer that is
- used by your computer to execute your program and to manipulate
- your data. When you start "LABELER", it is copied from the hard
- drive to RAM where it is actually run from. When you exit
- "LABELER" it is removed from RAM, and when you start another
- program, it gets loaded into the RAM that was used by "LABELER".

- GENERAL OPERATING CONSIDERATIONS
-
- When you are running "LABELER" there are several operational
- considerations that are generally adhered to. The "Esc" key on
- your keyboard will generally back you up from where you are to
- where you were (from a sub-menu to a master menu, or from within
- an input screen back to a menu). Up and Down Arrow keys will
- move you from one field within an input screen to another. Left
- and Right Arrow keys will move you around within a field. PgDn
- key will jump you past all remaining fields in an input screen so
- that you don't have to use Enter to step down through them.
-
- When you are in a "Menu", you can either use the arrow keys to
- move the light-bar to your choice and then press 'Enter', or you
- can simply press the letter key that corresponds with your
- choice.

- MAIN MENU of "LABELER" . Notice that the your name (or organiza-
- tion) is listed at the top of the screen. To select an option from
- this menu, simply press the key that corresponds to your selection,
- or use the Left, Right, Up and Down arrow keys to move the light bar
- to your selection and press the Enter key.

- STARTING "LABELER"
-
- When you first start LABELER, a set-up screen (Figure 2) will be
- displayed where you can enter:
-
- 1. Your name (or organization name) and address.
-
- 2. Whether you havea color monitor or not.
-
- 3. If you are using a laser printer, enter the printer port
- (LPT1 or LPT2). If you are not using a laser printer, leave
- the port set to 0. If using a dot matrix, enter the printer
- port (LPT1 or LPT2). If you are not using a dot matrix printer
- leave the port set to 0.If you are using both types of printer,
- enter the printer ports for both (when you go to print, the
- program will ask you which printer to use and will set the port
- accordingly. If you are using both, and you are using a printer
- switch connected to just one port on the computer, enter the
- same port for both printers. If you are using a dot matrix
- printer you can indicate if you are using 1, 2, or 3 Across
- labels. If you are using a dot Matrix printer select just one
- label format.

- 4. What type of floppy drives you have in your computer.
- The Defaults for the floppy drives are Drive A: and B:
- 360K 5 1/4" DSDD. If yours are different, use the
- Space Bar to "blank out" the defaults and enter X's in
- the correct selections.
-
- If you do not have all of this information readily available, the
- only thing that is really needed here (at this time) is for you
- to select your monitor type. When you have stepped past the last
- entry, a Command Line will appear - press 1 to save your entries.

- ENTERING SORT AREA FIELDS
-
- What next? Well the first thing you should do is select Option F
- of the Main Menu and enter the headings you want under Sort Areas.
- You can enter up to 32 Sort Areas. Areas could pertain to just
- about anything, like FAMILY, FREINDS, ect.. Actually, what you
- enter (and where) is solely up to you. You do not have to enter
- ALL areas! Just enter what you want used. Additional entries can
- be made at any time. Sort Areas can be used by the integrated word
- processor or mailing label options to select just certain classes
- of name entries for "Mail Merging" letters, or printing labels.

- The next step is entering your Entry information, so select
- Option A. Press F2 (one of the Function keys at the top or left
- side of your keyboard) to add an Entry. F3 to Edit. F4 to
- add comments. F6 to step to next entry. F7 to step back one
- entry.
-
- 1. Name, address, spouse (self-explanatory).

- 2. Company.
-
- 3. Day Phone: Work Phone number.

- 5. Comments: Use this field for whatever you need.

- 13. Sort Areas: You would have input the headings for this
- area by selecting Option F from the Main Menu. Now just enter
- an X at each appropriate heading.

- If you have entered all the information that you need to before
- you actually reach the bottom of the screen, you can press PgDn
- to "jump" to the bottom. This will save you from having to press
- 'Enter' several times unnecessarily.
-
- If you need to edit a Entry's information, just select the Entry
- by stepping through the database with F6 or F7, OR enter the
- Entry's Last Name or Company. If you wish to bring up a complete
- scrolling list of Entries to choose from, simply enter a ? instead
- of a Entry's Last Name or Company. You do not have to enter the
- whole name, but the more information you give "LABELER" the faster
- you can find the Entry. If you enter just the first character of a
- name, such as an "m", a listing of all the M's will be displayed.
- If you enter an "me" the list will include only those names that
- begin with "Me". If only one name begins with "Me", that file will
- be immediately displayed. No capitalizations are required when
- searching. Once you have the Entry "on screen", press F3 and make
- your corrections.

- This report will list all information in each Entry's file
- except the Sort Areas.

- Option A - Full Listing: You can elect to have this report list
- the Entry's name, spouse, address and phone numbers, or just the
- name and phone numbers. You can also elect to print just list-
- ings in a specific Zip Code

- Prints mailing labels for just Entries that match up to 4 Areas
- that you select. You can elect to require that they match all
- selected areas, or any one of the selected areas. To further
- narrow down the labels you want printed, you can also select a
- particular City & State, OR just a State, OR just a Zip Code.

- OPTION - FORMAT FLOPPY DISKS

- "LABELER" will format your floppy disks for you. The options for
- formatting that will be available to you depends upon what you
- entered into "Setup" as to the size and the number of floppy
- drives in your computer. If you only have a drive A:, you will
- not be presented with options for drive B:. If your drives are
- not "High Density" drives, you will only be presented with "Dual
- Density" options. Just put the disk to be formatted in the drive
- and press the appropriate key and follow instructions from that
- point.

- OPTION - RE-INDEX DATA FILES
-
- Re-Indexing a file simply means that the special pointer files
- (Indexes) will be re-built. Index files can tell the program to
- display or print information in a certain order (by last name,
- date, etc.) without physically sorting the file. They also allow
- for faster searches by telling the program what record number
- holds the information that you are looking for rather than the
- program having to search all of them to find it. Re-Indexing
- rarely has to be done, but it doesn't hurt to use this function
- periodically, or if there is an indication that something is
- wrong.

- OPTION - BACKUP DATA FILES

- There are many things that can happen in a computer that can
- damage your data files, or make them in-accessible (like a hard
- disk crash). To protect your investment in time and your data it
- is highly recommended that you perform a backup at least once a
- week, or sooner if you have input a lot of data since the last
- backup. Backups copy all of your data files (databases) to
- floppy disks. (LABELER must be on either C:,D:,E:,or F: and
- in a directory called IDPLBL.)

- CREATE A NEW DOCUMENT

- To create a new document, press "A" and you will be presented
- with a clear data entry screen.

- To edit an existing document, press "O" to open it. You will
- then be asked to either enter the document file name, or you can
- press the F8 key for a listing of documents to select from. If

- BASIC OPERATION

- The word processor does "word wrapping", which means that it will
- automatically start a new line if the last word entered will not
- fit the remaing space. This will simplify your typing because
- you will not have to pay any attention to your line lengths. A
- dynamic display at the top of the screen will tell you what Page,
- Line and Column you are presently at.
-
- When you are creating a new letter and have selected "A" from the
- opening menu, you can just start typing. At any time while you
- are writing, you can move the cursor (see Cursor Movement), to
- anyplace within the document. Therefore, if you see a typing
- error, or you want to re-word something, just move the cursor to
- the appropriate position and make your changes.
-
- If you see a mistake in a line already typed, use your arrow
- keys to go to the error then press the "Insert" key. Then use
- the delete key to remove what is in error and then type in the
- correction. If "Insert" is not used, anything you type in will
- "over-write" whatever is presently on the screen. With "Insert"
- on, what you type will be "inserted" wherever the cursor is at.
- If you have deleted a word, or words, and the line length is off,
- just press F9 and the paragraph will be "reformed" to new line
- lengths. If you are adding words, the line length will be
- automatically adjusted and reformed.

- SAVING A DOCUMENT

- When you have finished your letter, press F10. If the letter is
- a "new" letter (not currently in the database), you will be asked
- to give your letter a name (up to 8 characters. Then you will be
- asked to enter a short description of the contents of the letter
- (this will help you later when you can't remember what you called
- a particular letter). If you have been editing an existing file,
- you will be asked if you wish to save the changes.

- Once a document has been saved, you may elect to re-edit it
- (Option E), print it (Option P) or delete it (Option D).

- DELETING A DOCUMENT

- To delete a document, you must first "open" it. Do this by

- If you select Option M, for Mail Merge, you will need to select
- "P" for Plain Paper or "L" for Letter Head.

- PLAIN PAPER OR LETTER HEAD
-

- Letter Head would be your stationary. You will be asked to enter
- the number of lines from the top of the page to begin printingat
- (to clear the letter head). Use a ruler to measure down to where
- the printing should start. There are 6 lines to the inch, so if
- you need a 1 1/2" offset, you would enter 9. Next indicate if
- you are using single sheets or form feed paper. If you are using
- single sheets, printing will stop after each page to allow you to
- insert the next sheet.

- Plain Paper is just that, plain form feed paper. If you select
- Plain Paper, you will be asked if you want your Councils' name
- and address centered and printed at the top of the first page.

- MAIL MERGING TO LABELER DATABASE

- If you are merging to a LABELER database you will be asked if the
- letter is for A). ALL Entries, or B). By Selected Sort Areas.
- You can also select a different database by entering D. If you
- select A, the letter will be printed for each member in the
- selected database, with the Entry's name and address inserted as
- well as a "salutation".

- Select Option B and you will be asked to select up to 4 Sort
- Areas to sort under.

- After the letters have been printed, you will be asked if you
- want mailing labels for the letters that have been printed. If
- you answer "Y", you will be given an opportunity to insert
- mailing labels into your printer after which you need only to
- press any key. Mailing labels will only be printed for those
- members to whom a letter has been addressed.
